Monday-Friday

8:30am-5:00pm EST

9:00am-5:30pm EST

9:30am-6:00pm EST

They can pick their schedule, but need to work 1 night till 6:00pm

 

Note:

  • Remote roles - must have high speed WiFi connection and place to setup home office

 

Job Description:

Position purpose

  • The Workflow Coordinator’s primary responsibility is to review and assign incoming work tasks throughout the LINK program.
  • This position will oversee incoming work buckets related to new orders, documentation, escalations, and rush requests.
  • They will also manage aging in the team members work buckets to ensure work is being completed on time.

 

Primary Duties And Responsibilities:

  • Works in conjunction with Bard Care team, Management, Sales and Documentation.
  • Reviews, assigns and designates priority for new files, reorder files, service tickets, tech flips to ensure all work is assigned in alignment with the teams service level agreements.
  • Handles any rush or escalation emails, and assigns to the appropriate party to complete the task – follows up on assignments not worked outside of our service level agreements.
  • Manages aging of current team members work buckets to make sure work is completed on time.
  • Demonstrate the ability to handle pressure when attempting to meet deadlines and performance goals.
  • Design, validates and implements management dashboards and reports that illustrate key performance indicators on weekly, monthly, quarterly, and/or annual basis.
  • Partners with leadership to provide feedback, identify coaching opportunities and quality trends.
  • Ensure zero call backlogs and minimize risks related to workflow and task assignment.
  • Supports Management and Coaches as needed or directed/assigned.

Reporting Relationship Responsibilities:

  • No supervisory responsibilities
  • Provides work direction only
  • Provides work direction plus has responsibility for hiring, promotions, transfers, performance management, discipline, and discharge.

 

Minimum Requirements or Qualifications:

Education/Experience:

  • Associates Degree or equivalent preferred; two to three years related experience and/or training in a clinical environment; or equivalent combination of education and experience.

 

Skills:

Language:

  • Ability to read, analyze, and interpret medical documentation, medical supply publications, patient account history, technical procedures, and/or training tools.
  • Ability to comprehend and effectively communicate patient account status. Excellent verbal and written communication skills.

Math:

  • Ability to solve basic math equations. Ability to calculate figures and amounts such as percentages, daily/monthly frequency of use, order quantities and product quantity on hand.

Reasoning:

  • Ability to solve practical problems and deal with a variety of variables.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Advanced analytical reasoning to include ability to forecast exponentials within workflow processes and reason against outside factors.

Computer:

  • Knowledge of Microsoft Office Applications. Excellent data entry, proofreading and typing skills.
  • Experience with Access, Tableau and/or Salesforce is desirable.

Telecommunications:

  • Ability to utilize or knowledge of call center telecommunications software.

Licensure or Certifications required:

  • No certifications required.

 

Work Requirements

  • Ability to work some evening shifts, weekends, and overtime as needed.
