Job Description Summary
The PC will be primarily responsible for the tracking and administering the GS project portfolio Project Change Request (PCR) and Gate Governance activities. This role is responsible for working with project teams to ensure accurate and timely project change control and change reporting. The PC will work with project teams to schedule and prepare for Gate Reviews, capture the minutes and actions from the Gate Reviews and follow up to ensure required actions are completed, documented and all approvals are accurate and complete. The PC will run weekly reports to summarize portfolio gate governance activities, status and results.
Key Responsibilities:
• Assist the COE director in coordinating Global Services Steering Committee agenda by identifying key projects for bi-weekly reviews and coordinating with project teams for presentations – serving as a back up to the COE portfolio coordinator
• Provide project portfolio reports using established tools and dashboards
• Identify inaccurate project data in the established portfolio management tools and work with project teams for timely corrections and updates to facilitate accurate reporting
• Identify and track root causes for project status inaccuracies
• Support process improvement and implementation efforts as directed by manager
• Create, analyze and distribute reporting for team and executives using MS Excel, Project, Visio, and QlikView providing preliminary analysis of the GS Gate Governance and Change control processes
• Create charts, graphs, diagrams and other visualizations using MS Office programs
• Identify and suggest more efficient methods of performing work and present to management
• Monitor group email and respond promptly and courteously to requests for assistance
• Route requests for assistance in a timely manner, as appropriate, or escalate if needed
• Assist in administration of the Global Services Steering Committee (GSSC) SharePoint site
• Maintain the PCR and Gate Governance review schedules
• Track and maintain records of projects reviewed and weekly GGRB action items
• Collaborate with team members worldwide, using clear and professional verbal and written communication skills
• Create new reports as requested by manager
• Identify completed projects monthly and administer customer satisfaction survey and index reporting for EPMO metrics
• Capture and maintain monthly EPMO and Global Services project performance metrics as directed by manager identifying trends and key events
• Other related activities as directed by Manager
Qualifications:
Experience:
• Bachelor’s Degree (Project Management degree a plus)
• Minimum of 3 years working in professional global organization with Project Coordination/Project Management and Project Management Office (PMO) experience
Technical Skills:
• Expert proficiency with MS Office tools: Word, Excel, Project, PowerPoint, Visio, SharePoint, Skype & O365 (creativity in PowerPoint presentations a plus)
• Experience and working knowledge of Service Now system; experience with Qlik View dashboards a plus
• Excellent analytical skills – able to drive to issue root causes
• Attention to detail – adept at ensuring details of project deliverables are complete, professional and accurate.
• Self-starter, critical thinker
Project Management Skills:
• Experience in project and portfolio status, metrics and performance reporting
• Project Management Certification (CAPM or PMP) a strong plus but not required
• General understanding of project management industry best practices, tools and concepts
• Proficiency in project scheduling tools and cost control fundamentals
• Knowledgeable of effective project management tools such as action/issues tracking logs and project status reports

Engineering Program/Project Management is responsible for managing the execution of programs and/or projects consisting of single or multiple projects and/or programs. May manage project and/or program managers within assigned program and/or project. Works within the constraints of budget, schedule and scope while managing risk and ensuring adherence to established processes and methodologies. Demonstrates working knowledge of project management principals. Conducts medium to large-scale needs assessments and audience analysis projects requiring multiple data sources. Incorporates data into course design for complex courses. Manages multiple design projects with minimal definition and broader scope. Uses in-depth knowledge to select instructional techniques and defines and sequences instructional content. Independently creates instructional
materials and products. Independently evaluates and assesses instructional programs using Kirkpatrick's four levels of evaluation. Through research, identifies external vendors to meet specific business needs. Has in-depth experience, knowledge and skills in own job family. Applies knowledge and skills to a wide range of standard and non-standard situations. Works independently with minimal guidance. Usually determines own work priorities. Acts as a resource for colleagues with less experience.
